Job description

We are currently seeking a Works Coordinator to join a grounds maintenance contractor who provide a range of soft landscaping services across the South East.
 
The successful candidate will be responsible for managing client enquiries. Providing administrative support to Contracts Managers in running and bidding/tendering of contracts. Monitoring company's statutory compliance and adhere to ISO processes.
 
Responsibilities:
·Contract reporting; daily/weekly/monthly to meet customer requirement
·Prepare contract timescales, obtain plans and permits, arrange traffic management
·Monitor contract completion and maintain contract records (plan vs actual) liaising with finance on invoicing
·Respond to and manage client enquiries
·Establish and maintain strong customer relationships on operational level
·Manage incident response and insurance cover.
·Collate supporting documents for bids/tenders
·Maintain central filing system for ISO, tender and contract activities
·Monitor company's ISO processes and ensure they are up-to-date and adhered to
·Maintain and monitor statutory compliance checklists for company's infrastructure (e.g. electrical inspections, MOT, vehicle tax)  
·Liaise with office technology providers and maintain social media presence
·General administrative duties, including answering telephone calls and e-mails

What's required:
·Excellent verbal and written communication skills
·Strong administration experience (previous experience of contracts administration and tendering desired)
·High levels of literacy and numeracy
·Intermediate to advanced knowledge of Microsoft Office applications, quick to adapt other applications, IT and social media knowledge an advantage
·Business related qualification/studies desirable or skills gained through experience
·Highly organised, well developed problem solving and analytical skills
·Outgoing, confident team player with ability to work on own initiative
·Ability to prioritise and to achieve results under pressure
·Responsible, open and trustworthy
