Job Description
As a Client Relations Coordinator, your role will be to provide a highly professional, efficient, and effective service to UK offices as part of a central team. You will support the Location Support Coordinator in fostering an inspiring office environment where people can relax and deliver exceptional work. This role encompasses location support, facilities tasks, IT support, and HSEQ compliance to ensure the business can effectively serve its clients.
This position requires a balance between client care and office facilitation duties. You will develop an understanding of our visitors and their expectations, implementing approaches that enhance their experience and contribute to a culture of continuous improvement. This is a dynamic and varied role, requiring an organised team player with strong attention to detail and problem-solving skills.
This support services role requires a physical presence on site, and you will be the main point of contact for your assigned office(s).
Role Responsibilities
·Deliver a positive visitor experience by welcoming clients, visitors, and contractors. Ensure proper visitor sign-in protocols and compliance with health and safety, as well as GDPR policies and procedures.
·Lead by example by maintaining and promoting high professional standards of behaviour.
·Assist with the smooth operation of the office, including front-of-house services, desk bookings, and car park management (where applicable).
·Handle reception duties, including greeting visitors, answering calls, and scheduling appointments.
·Manage meeting rooms, including AV setup, tele/video conferencing, refreshments, IT assistance, and other general requests.
·Assist with reporting and logging tickets through the Support Helpdesk on behalf of clients and visitors, ensuring timely resolution.
·Liaise with the FM provider, cleaning staff, and PPM engineers.
·Support the Location Support Manager in delivering office facilities and participate in contractor KPI/SLA meetings.
·Serve as the onsite liaison for new starter equipment setup, assist with the induction process by conducting office tours (emergency exits, etc.).
·Perform kitchen duties, including daily maintenance of coffee machines and milk supply.
·Use cloud-based accounting software (Maconomy) to log purchases and input invoices.
·Provide low-tech IT support, including desk setups with docking stations and asset orders.
·Assist with coordinating onsite events, ensuring all requirements (catering, room bookings, etc.) are met.
·Handle incoming post, couriers, and deliveries.
·Maintain auditable records in company systems, databases, and procedures.
·Ensure office safety and security, working regularly with the Health & Safety consultant to meet legislative requirements.
·Provide administrative support to the H&S Officer, ensuring up-to-date H&S notices, fire warden, and first aider information throughout the office.
·Ideally, hold a First Aider qualification and be willing to serve as a Fire Marshal.
·Assist with providing PPE.
·Maintain high standards of Health & Safety, Quality Assurance, and Environmental impact, while ensuring office security.
·Perform any other ad hoc duties as required by the business.
Required Qualifications, Skills, and Knowledge
·Excellent planning and organisational skills.
·Strong proficiency in MS Office (Word, Excel, Outlook, Teams).
·Good communication skills, with a responsive and flexible approach.
·Ability to build effective internal and external relationships.
·Ability to multitask and work well under pressure.
·Demonstrates a continuous improvement mindset.
