Job description

Opportunity for an experienced document controller to work within a key role within the Business Support team within a building design consultancy.
 
The document controller works closely with the lead engineers to ensure issuing standards are adhered to across a range of projects and software.
 
Duties & Responsibilities


·To upload and download, store, manage and track company documents such as reports, specifications and drawings. Scan, organize and maintain documents, adhering to the company's document procedures, archive inactive records in accordance with the records retention schedule
·To control the retrieval of documents, receive and process Requests for Information (RFI's)
·Coordinates, implements, and maintains the company's Document Control System
·Formatting technical documents in Word, XLS and NBS.
·Updating drawings title blocks in AutoCad
·Creating documents and drawings (PDF and DWG format)
·Distributing documents in accordance with project document distribution matrix
·Maintaining Master Document Register in accordance with the current status
·Producing and maintaining Document Progress Reports to Project Engineering Managers
·Ensure that all documents issued outside organisations are compliant with document control standards
·Creating and updating document management tools (action trackers, information request trackers, deliverable trackers).
·Maintains quality records per applicable SOPs
·Ensuring that the latest revisions of all project technical and management documents are available for distribution
·Filing all hard copy documents in appropriate folders and keeping up to date drawing and document registers
·Issue and receive controlled documentation, log issues and received information, and create general electronic transmittals to the project
·Compiling reports, typing, any general admin assistance (copying, printing, scanning, filing, arranging of meeting room and diary management)

·The ability to prioritize, manage time well, multitask and troubleshoot. Strong interpersonal, communication and customer service skills are also essential
·Must be computer literate and well-versed in Microsoft Office products
·Experience with document control software, process map software, 4Project, FTP clients, ISO, SharePoint and FileNet
·Required to work in a fast-paced and deadline driven environment
·Ability to stay focused and carry out their tasks in a timely and accurate manner
·Detail-oriented, dependable and trustworthy
·Strong verbal, written, organisational, time management and interpersonal skills
·Exercises judgement within broadly defined practices and policies in selecting methods, techniques and evaluation criteria for obtaining results
 
 
Experience
- Minimum of 2 to 5 years experience in the industry (construction/engineering)
- Experience with electronic document control and training system preferred
