Buyer / Administrator - Civil Engineering & Surfacing (Office-Based, Middlesex)

My client is a well-established, family-run civil engineering and surfacing contractor with over 50 years' experience delivering high-quality works across the South East. The role and responsibilities
As a Buyer / Administrator, you will be office-based and will play a key role in supporting site operations, logistics, and commercial activity. You will be doing the following:
Procurement & commercial support
·Procuring and sourcing materials, plant, and tools requested from site teams
·Raising, tracking, and closing purchase orders
·Negotiating best value and term contract rates with suppliers
·Maintaining strong working relationships with key suppliers
·Pricing bills of materials to support tender submissions
Surfacing & logistics planning
·Weekly planning and scheduling of surfacing works (asphalt projects)
·Hiring surfacing equipment including pavers and rollers
·Coordinating logistics for surfacing kit using company low loaders and hired transport
·Booking planers and arranging suitable tips for planings (excluding Buckinghamshire)
·Booking external sprayers, sweepers, and subcontract haulage when required
·Coordinating site operatives such as sweepers, planers, and tipper drivers
·Reviewing return loads monthly to reduce waste and improve efficiency
·Providing logistics planning cover, including holiday cover
·Managing GRAB logistics planning (two Saturdays per month)
Invoicing & financial administration
·Approving material invoices via Paperless and querying discrepancies
·Reviewing and validating high-volume supplier invoices (circa 300 per month)
·Recording planings sent for invoicing
·Approving concrete invoices and managing aggregate sales invoicing
·Managing subcontractor recharges
·Running reports from internal systems as required
Compliance, waste & sustainability
·Managing compliance administration for operatives entering high-security sites
·Updating carbon footprint and waste tracking data monthly
·Preparing waste schedules and filing Waste Transfer Notes
General office & yard support
·Ordering stock for the yard, workshop, and stores
·Coordinating social value activities with local schools and communities
·Answering and directing incoming office calls
Must-have skills and experience
·Previous experience in construction, civils, surfacing, or buying of plant/materials
·Strong organisational skills with excellent attention to detail
·Confidence communicating with suppliers, subcontractors, and site teams
·Commercial awareness and comfort handling high invoice volumes
·Good IT skills with experience using procurement or invoice systems
·Ability to work independently and manage a varied workload
Salary and benefits
·Competitive salary dependent on experience (in the region of £45,000)
